# Choose a plan and manage billing

Free is for one person working with their AI assistant, and it never expires. Pro is for a team: you pay for each member, and everyone in the workspace gets the bigger storage, the longer trash window and unlimited AI changes. Each workspace has its own plan, and only its owner can upgrade or manage billing.

Guests are free on both plans, so sharing a memo with a client never costs a seat.

US$ prices exclude tax. New Zealand customers pay in NZ$ with GST included; checkout works out which applies. Pro starts with a 14-day trial, card up front, and nothing is charged until the trial ends. Billing is monthly per seat with no minimum term.

## Upgrade to Pro

1. Open **Workspace settings** and go to **Billing**.

2. Click **Upgrade to Pro**.

3. Follow the steps: **Choose plan**, **Invite workspace members**, **Billing contact** and **Payment details**.

## How seats are counted

You pay for the owner, admins, full members and limited members who have joined and are active. Pending invites, guests and disabled members cost nothing.

- Adding someone partway through a month is charged pro rata on your next invoice.

- Removing someone isn't refunded for the current month. Your next invoice bills the new number of seats.

## Change your card, invoices or billing contact

On **Billing**, click **Manage billing** to update your card and see invoices. You can also change the **Billing contact**. If a payment fails, **Fix payment** takes you to update your card.

## Cancel or go back to Free

During the trial, click **Cancel trial** on **Billing**: the subscription ends straight away and the workspace drops to Free. After the trial, cancel from **Manage billing**, and the workspace moves to Free when the subscription ends.

A workspace can only go back to Free if it fits Free: one member, up to 5 guests, up to 50 MB of uploads, and you don't already own another Free workspace (each account gets one). If it doesn't fit, cancelling the trial is refused with the reason, and a later cancellation pauses the workspace until it fits. Remove extra members or files first, or email [team@fieldwerk.ai](mailto:team@fieldwerk.ai).

## Daily limit for AI assistants on Free

On Free, AI assistants and anything using the API can make 200 changes a day for each person in each workspace. The count resets at midnight UTC. Pro has no daily limit.

These count:

- creating or duplicating a memo;

- editing a memo's text;

- posting, editing, resolving or deleting comments and reactions.

These never count:

- anything you do in the Fieldwerk app yourself;

- organising, such as properties, filing into collections and notebooks, views and tags;

- reading and searching;

- changes that are refused or change nothing.

Your assistant sees how many changes are left and warns you at 70%, 80% and 90%. The first time you reach the limit in a workspace, Fieldwerk resets it once as a courtesy. After that, changes wait until midnight UTC, while reading and organising keep working.
