Manage your workspace settings
Workspace settings is where you decide who can get in, what can leave, and how your workspace looks to the people you share with. Owners and admins open it from the cog beside the workspace name in the sidebar, or with Cmd+K then Workspace settings. Billing, archiving and deleting the workspace are for the owner only.
What's in each section
Section | What you can do |
|---|---|
General | Change the workspace's avatar, Workspace name and Workspace handle, choose how link previews look, and write the workspace Instructions your team's AI tools follow |
Members | Invite, change and remove people. See Invite people to your workspace |
Groups | Create groups so you can share with several people at once |
Trash recovery | On Pro, recover memos after the trash window has closed |
Security & Access | Approved domains, share links, two-factor and moving memos between workspaces |
Git sync | Connect the workspace to GitHub. For help setting it up, email team@fieldwerk.ai |
Billing | Your plan, card and invoices. See Choose a plan and manage billing |
Manage | Archive or delete the workspace |
Change the name and logo
Go to General.
Under Workspace profile, click Upload (or Change) to add an avatar, then crop it and click Save avatar.
Change the Workspace name or Workspace handle.
The avatar appears on memos and pages people open through your share links, so a client sees your name on what you send them.
Give your AI standing instructions
Under General, the workspace Instructions are read by every connected AI before it works anywhere in the workspace: how collections are named, what the standard notebooks mean, what not to restructure. Write them once and every AI your team connects files things the same way. Collections can carry their own layer on top; see Give a collection standing instructions.
Control security and sharing
On Security & Access (Pro for domain controls and two-factor):
Approved domains: your organisation's email domains, read by the three switches below it.
Let people at these domains join automatically, so new starters don't wait for an invite.
Only allow members from these domains and Only allow guests from these domains, so nobody outside the company can be added by mistake.
Disable all share links: turns off every memo, file and collection link in the workspace at once. Useful when something has leaked and you need it closed now.
Tell me when someone shares a memo to anyone with the link.
Let owners move memos to another workspace.
Require two-factor authentication: everyone must have two-factor sign-in turned on before they can open anything here. You need it on your own account first. See Sign in and keep your account secure.
Archive or delete the workspace
On Manage, the owner can:
Archive workspace: hides it for everyone. An archived workspace can be restored on request.
Delete workspace: hides it straight away and permanently deletes it, with everything in it, after 30 days. Until then, email team@fieldwerk.ai to restore it.
You type the workspace's name to confirm either one. See Delete your account or workspace.
Have your AI do it
Once your AI is connected (see Connect Claude to Fieldwerk or Connect ChatGPT to Fieldwerk), have it add a rule to the workspace instructions without retyping the rest:
In Fieldwerk, add a rule to my workspace instructions, keeping everything else as it is. These apply to every AI in the workspace, so ask me what the rule is and show me the change before you save it. If I'm not a workspace admin, tell me who can change them.Check what a collection shares before you publish it:
In Fieldwerk, show me my collections and ask which one to check. Then tell me how it's shared, whether it's published, who has access, and whether there's a password.
