How everyone's AI works in the same workspace
In a team workspace, each person connects their own AI, and it works as them. It reaches only what that person can reach, and does only what their access allows. Everything it does carries its person's name, so you can always tell whose AI changed what. Standing instructions give every AI the same brief, whichever tool each person uses, and people and AIs can work on the same memo at the same time without losing each other's changes.
Each person connects their own AI
There's no shared team AI to set up. Each person connects the tool they already use, such as Claude or ChatGPT, to their own account. See Connect Claude to Fieldwerk, Connect ChatGPT to Fieldwerk and Connect other AI tools to Fieldwerk.
Because it works as its person:
A limited member's AI sees only the collections they've been given.
Someone with View access to a collection has an AI that can read it but not change it.
A private collection is out of reach of the AI of anyone it isn't shared with.
Nobody's AI can invite people, change billing or change security settings.
Each person can see and revoke their own connections in Personal settings, under Connections. For everything an AI can do, see What AI assistants can do in Fieldwerk.
You can see whose AI did what
On an open memo, a connected AI shows with its person's name, such as "Ben's Claude".
When someone's AI changes a memo you have open, the new text is briefly highlighted with a label saying whose AI added it.
Comments from an AI carry a badge with its name.
Version history shows each change an AI made under the person's name, followed by via and the AI tool. See See and restore earlier versions of a memo.
Every AI gets the same brief
Standing instructions on the workspace, a collection or a notebook are handed to every connected AI before it creates, edits or files anything there. So one person's Claude and another's ChatGPT name, file and tag things the same way, and the rules change for everyone the moment someone edits them. See Give a collection standing instructions.
Working on the same memo at the same time
Edits appear live. Everyone with a memo open sees changes as they happen, with each person's cursor and name. Changes made by someone's AI appear the same way.
Your typing is protected. If someone's AI changes a paragraph you're typing in, Fieldwerk shows a message saying so, with an Undo button that brings your text back.
AIs work from the latest version. If someone changed a memo since your AI last read it, Fieldwerk tells your AI, so it can redo its change on the latest version rather than write over theirs.
Nothing is lost. Every change is kept in version history, and any earlier version can be restored.
Final means final. A locked memo can't be changed by anyone, or anyone's AI, until it's unlocked. See Lock, archive or delete a memo.
Have your AI check
See who's been changing a memo:
In Fieldwerk, who changed one of my memos in the last week, and which of those changes came from someone's AI? Ask me which memo.Check what brief your AI would be given:
In Fieldwerk, read the standing instructions on my team's workspace and its collections. Sum up what you'd be told to do in each, and point out anything unclear or contradictory.
